Electrovision Engineering and Automation ("we", "us", or "EVEA") is a vocational training institute based in Dhaka, Bangladesh. We respect your privacy and are committed to handling your personal information lawfully, transparently, and only for the purposes described in this policy.

This policy explains what information we collect when you browse our website, submit an admission form, request verification of a marksheet or certificate, contact us, or otherwise interact with our online services, and what your rights are.

2. Information we collect

a. Information you give us directly

Full name, father's name, mother's name, date of birth, gender.
Phone number (yours and your guardian's) and email if you provide one.
Present and permanent address (village/road, post office, post code, thana, district).
National ID, Birth Registration number, or Passport number when required for an admission or certificate.
For attachment / industrial-attachment students: institute name, department, board roll, and board registration number.
Course choice, duration, and admission type (trade, trade online, or industrial attachment).
A passport-size photograph uploaded with the admission form.
Messages you send through our contact form.

b. Information collected automatically

Standard web-server logs: IP address, browser type, pages visited, and timestamps. These are used for security and basic troubleshooting.
Session cookies that keep you signed in to the admin panel and remember your language choice.

c. Sensitive data we do NOT collect

We do not collect bank card numbers, biometric data, religious beliefs, political opinions, or any health information through this website.

3. How we use your information

To review and process your admission application and create your student record.
To issue your student ID, registration number, marksheet, and certificate.
To run public verification of marksheets and certificates (only the fields shown on the certificate are exposed; address, NID and contact details are never shown publicly).
To contact you about your application, class schedules, exam results, or important notices.
To respond to your contact-form messages.
To keep our website and admin panel secure and to detect or prevent abuse.
To comply with applicable laws and lawful requests from authorities in Bangladesh.

We do not sell, rent, or trade your personal information, and we do not send marketing messages to people who only submitted a contact form.

4. Legal basis for processing

Consent — when you choose to submit a form and tick that you have read this policy.
Contract — to deliver the training services and certifications you enrolled in.
Legal obligation — to keep academic records as required by educational and regulatory authorities.
Legitimate interest — to operate, secure and improve our services.

5. How we store and protect your data

Form data and student records are stored in a MySQL database hosted on servers located in or near Bangladesh.
Uploaded photos and PDFs are stored in a private uploads folder on the same server.
Admin accounts are protected by hashed passwords (no plain-text storage) and session-based authentication.
File uploads are restricted by file type and size to prevent malicious uploads.
When you delete a record from our admin panel, the related uploaded photo or PDF is also removed from disk, except when another active record (for example, your student record after admission approval) still references the same file.
No system is 100% secure. We work hard to protect your information but cannot guarantee absolute security.

6. Data retention

Approved student records (including marksheets and certificates) are retained as part of our permanent academic register, so that we can verify your qualification at any time in the future.
Pending or rejected admission applications and their uploaded photos may be deleted at the discretion of the administrator. Such deletions also remove the associated file from disk.
Contact-form messages are retained for as long as is reasonably needed to respond to your enquiry, then archived or deleted.
Web-server logs are typically retained for 30 to 90 days for security purposes.

7. Who can see your information

Authorised EVEA staff and administrators, only as needed to perform their duties.
Anyone who has your certificate number and roll/registration number can use our public verification page to confirm name, course and validity. We deliberately keep that page minimal to avoid exposing extra personal data.
Hosting and infrastructure providers that operate the servers on which our website runs. They process data on our instructions only.
Government, education or law-enforcement authorities, when we are required by law to disclose information.

8. Cookies and analytics

We use only essential cookies: a PHP session cookie that keeps an admin signed in, and a small cookie that remembers your preferred language (English or Bangla). We do not use third-party advertising trackers on this site.

You can clear or block cookies in your browser settings; doing so may prevent the admin panel from working but will not affect public pages or admission forms.

9. Third-party services

Some pages load fonts, icons, or scripts from public content-delivery networks (e.g. Tailwind CSS, Flatpickr, Google Fonts). These services may receive standard log information such as your IP address as part of normal web requests. We do not share any form data or student data with these providers.

10. Children and age requirements

Our courses are typically for learners aged 14 and above. If an applicant is under 18, a parent or legal guardian must consent on their behalf and remain reachable on the guardian phone number provided during admission.

11. Your rights and choices

Subject to applicable law and our academic record-keeping duties, you may ask us to:

See what personal information we hold about you.
Correct any information that is wrong or out of date.
Delete a contact-form message or a pending admission application you submitted.
Withdraw consent for any future use of your data that is not required by law or by our academic record-keeping obligations.

To make a request, contact us using the details in section 13. We may ask you to verify your identity before acting on the request.

12. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our services or in applicable law. The "Last updated" date at the top shows when the document was last revised. Continued use of the website after a change means you accept the revised policy.
